The following are instructions for attendees to our virtual meetings. These protocols are designed to help the host and the attendees get the most of the experience

We are using Zoom Cloud Meeting software for the meetings. This is a very small download to any device you might have; computer, tablet/iPad smartphone etc.

The Zoom software can be downloaded:
Windows Computers:  go the Zoom Home page (zoom.us)
Mac computers:  go to the App store on your machine and search for ‘Zoom Cloud Meetings’
Android phones and tablets:  Go to google play: and search for ‘Zoom Cloud Meetings’
iPhones and iPads:  go to the App Store from your device and search for ‘Zoom Cloud Meetings’

Once downloaded you are ready to go to a virtual meeting

You may also join by flip-phone or landline by calling one of the numbers below in the invitation.  You won’t see us but you can hear and participate in the meeting.

Last Names

When you join a meeting – depending on how your email address is configured, your full name may be displayed on everyone’s screen. Each host will help you to remove your surname and only reveal your first name if you wish – please ask.  You can also “rename” yourself in the Participants panel under “More”.

Listening and speaking protocol

The meeting will be set up in such a way that when you join you will have your camera and mic enabled, that way we can all see each other as we join. When the meeting starts the host will ‘mute’ everyone’s mic – except the chairperson’s who will guide us through the meeting as they see fit. We decided that we should use the standard meeting format and outline as set out in the Service Manual. If you don’t have a service manual there is an online version available which you can use or download, print, etc. The relevant sections are pagers 10 – 20. We don’t tend to read the Concepts of Service or the General Warranties of the Conference.

So far in virtual meetings, we have done nothing about this but we are asking that if you want to contribute you can send an email to the treasurer and she will let you know what to do – include your group name if you have one, please.
